There are four ways to bring people into your team. With all of them, ZARMS does not send an invitation email. After you invite someone, tell them yourself which Google account to sign in with, or send them the invite link. * If an admin has restricted adding people to the directory, only Owners and Managers can do this. You can also invite someone by email later after you add them to the directory.

Invite by email

1

Open the invite screen

Open Member in the left nav, then click Invite members in the top right. The Invite tab opens.
2

Enter email addresses

In Email (Google account), enter the address of the Google account the person uses to sign in. Press Enter or type a comma after each address to add as many people as you like.
3

Choose a role

Choose a role. If you’re not sure, choose Member. If you choose Guest, also choose at least one board under Boards they can open (see Show guests only some boards). For how the roles differ, see Roles and what they can do.
4

Send the invitation

Click Invite N people. To invite more people with a different role, just enter them again without closing the screen.
5

Tell the person

Tell them: “Open app.zarms.cloud and sign in with the Google account for this address.” They join as soon as they sign in. It helps to share Join a team you were invited to so they know what to expect.
People you invite appear in the list on the same screen as Waiting to sign in. Email invitations don’t expire. They stay valid until you revoke them. To cancel one, click Revoke in the list. Invitations that were accepted or revoked are collected under Past invitations. In Note, you can write up to 200 characters, such as why you invited the person. The person you invite can’t see it.
1

Open the Invite link tab

Click Invite members, then open the Invite link tab.
2

Set the conditions

Choose the role that people who join will get. You can’t choose Owner for an invite link. Also set Expires in (1, 7, 30, or 90 days) and Number of uses (how many people can join with this link, from 1 to 1000).
3

Issue and copy the link

Click Issue URL to show the link. Copy it with the copy button and send it to the people you want to invite.
Once you leave this screen, you can never see the link again. Copy it right away. If you lose it, disable that link and issue a new one.
An invite link doesn’t check the email address of the person who opens it. Anyone who has the link can join, up to the number of uses. Be careful about who you send it to. Active links are listed on the same tab, with their role, expiry, and how many times they’ve been used. To stop a link you no longer need, click Disable. People who already joined with it stay in the team.

Add to the directory

People who never sign in to ZARMS can still be chosen as card assignees once they’re in the directory. Use this when you want to assign cards to, for example, an outside business partner or a manager who doesn’t use ZARMS. Click Invite members (Members see Add to directory instead). On the Add to directory tab, enter a Name and click Add to directory. An email address is optional. People who are only in the directory don’t get comment or assignment notifications. If that person later joins with a Google account that has the same email address as their directory entry, ZARMS links them to that entry automatically.

Import many people from a sheet

On the Import from sheet tab, you can use a Google Sheets spreadsheet to add people to the directory and invite them in one go. You can import up to 500 rows at a time. For the steps, see Import and export with spreadsheets.

Plan member limits

Basic and Starter limit how many people a team can have. The count includes active users (including Guests), people who are only in the directory, and people with a pending invitation. It doesn’t include people whose access is suspended or who were removed from the directory. For the exact limits, see Plans and trial. When you reach the limit, you can’t invite people, issue invite links, or add people to the directory. Suspend someone’s access to free up a spot, or change your plan.
