For outside partners, or people who work on only a few projects, use the Guest role. Guests see only the boards an admin chooses for them (Boards they can open) and the cards on those boards. They can’t see other boards, the directory, or groups.

Invite a guest

Who can do this: Owners and Managers Follow the steps in Invite members, choose Guest as the role, and choose at least one board under Boards they can open. You can set this the same way for an invite link. You can’t invite guests by importing from a spreadsheet. Invite them one at a time.

Make an existing member a guest, or add boards

Open the member’s details. In the Access section, set the role to Guest and choose boards under Boards they can open. When you save, you’ll see the confirmation “This person becomes a guest. The directory and groups will no longer be visible.” To add or remove boards for a guest, change the checkboxes in the same section and save. A guest must have at least one board. If you want to remove all of them, change the person back to Member, or leave at least one board. You can’t choose boards for Owners or Managers.

What guests can and can’t see

If a guest opens the URL of a board they can’t open, they see “Page not found”. A guest who no longer has any boards they can open (for example, because a board was archived) stays a guest. They see the message “No boards are assigned. Ask an admin to assign a board, or to change you back to a member.”

What to watch out for in Google Drive

Guests get edit access to the Google Drive folders of the boards they can open. That access is given on the parent folder that holds the board’s folder. If you haven’t changed a board’s parent folder, the parent folder is ZARMS ボード (ZARMS boards), which every board shares. That means a guest who opens Google Drive directly can also see the folders of other boards.
If other boards have files you don’t want guests to see, go to the board settings of the board you’re inviting the guest to, and choose a parent folder just for that board.
For details, see Google Drive folders and permissions.
