A card is one piece of work in ZARMS. When something comes up, create a card with just a name. You can set the assignees and dates later.

Create a card

1

Open the create dialog

Press C on your keyboard. You can also press New at the top. (On the board list or the members screen, use the arrow on the right and choose Card.) On a Kanban board, you can also use Create a card at the bottom of a column.
2

Check where the card goes

On the Quick create tab, check Board name to see which board the card goes on. If you opened the dialog from a board, that board is selected. From any other screen, My board (no board) is selected.
3

Enter a card name and create it

Enter a Card name and press Create (or press Enter).
4

Add the details

The new card’s details open right away. Add the assignees, dates, description, and so on, then press Save changes. For how, see Set assignees and dates and Write the description and add files.
We recommend naming a card with a verb that says what to do (for example, “Create the estimate” or “Set the new-hire training schedule”). The sample text already in the card name box (“Do X to Y”) shows that style.

Default values for new cards

With Quick create, every field except the card name starts with the values below. If you create a card from a Kanban column, its status is that column’s status. An admin can change these defaults for the whole team under Defaults for new cards in the admin console. You can also change them for each board in board settings.

Create from a template

For work that follows the same steps every time, create the card from a template card. The steps, assignees, dates, and document format carry over as they are. When a board has template cards, a Card template field appears under Options in Quick create. The current board’s template is selected for you, and the card name becomes “template name (date created)”. If you don’t want to use a template, choose None. To make a template card, open a normal card’s details, press More actions (the three vertical dots) at the top right, and choose Convert to template card. A template’s dates are set relative to the day the card is created, such as “N days after creation, at a set time.”

Have AI create cards from meeting notes

You can turn the to-dos in meeting notes or a transcript into cards all at once. This is available on plans that include AI.
1

Choose AI draft

In the card create dialog, choose the AI draft tab. You move to the AI screen, and the input box is filled in with “Create cards from the meeting notes or transcript.”
2

Add the notes and send

Attach the meeting notes file or paste the transcript, then send.
3

Check the proposal and run it

AI shows the cards it would create as Proposed actions. Check them and press Continue to create the cards. Press Reject to create nothing.
For how to use AI and how credits work, see Ask AI and have it take actions.

Create from an email

You can turn an email you have open in Gmail into a card with the add-on (Create a card from an email in Gmail). To turn every email sent to a set address into a card, use Create cards by email.

Import many cards from a spreadsheet

If you already track work in a spreadsheet, you can import it from Google Sheets on the Bulk import tab. You can import up to 500 rows at a time. For the steps, see Import and export with spreadsheets. If you’re moving from another tool, see Move from another tool.

If something goes wrong

  • You can’t press the create button: If your team has more boards or members than your plan allows, everything that creates something new stops. You can still view, edit, and comment on existing cards. For details, see Plans and trials.
  • There is no AI draft tab: Your plan doesn’t include AI, or an admin has turned off AI features. See AI is unavailable.
