On boards and My Board, you can switch how cards are shown with Kanban, List, and Timeline in the right nav. Each view shows the same cards from a different angle, so pick the one that fits what you’re doing. Your browser remembers the view you pick, so the board opens in the same view next time. The setting isn’t per board. It applies to every board in the team and to My Board.

Kanban: move cards forward by status

Cards are arranged in four columns: Not started, In progress, In review, and Done. Draft cards appear in the Not started column. Cancelled cards don’t appear in Kanban. For what each status means, see Status and the ball.
  • Change the status: Drag the card to another column. On a smartphone, press and hold the card for a moment, then drag.
  • Change the order: Drag the card within the same column. The order is saved, and other members see it in the same order.
  • Move a whole column: Click the arrow in a column heading to move all the cards shown in that column to the previous or next status. If a filter is on, only the cards you can see move.
  • Add a card: Click Create a card at the bottom of a column to create a card with that column’s status.
When you change a status, the change is recorded in the card’s comments. In ZARMS, the person who needs to act next on a card has the ball — it’s their turn. If no one is set for the role that gets the ball next, a dialog opens so you can choose someone. For details, see Status and the ball. In Kanban and List, you can also use a card’s menu to change its status, follow, duplicate, share, or archive it.

List: compare cards in a table

Cards are shown as a table. The columns are number, card name, steps progress, status, priority, start date, due date, hours, assignee, and last updated. In the assignee column, the person whose turn it is is highlighted.
  • Click a column heading to sort by that column. At first, cards are sorted by the nearest due date.
  • Rows for overdue cards are colored.
  • The bottom of the table shows the count for each status and the total hours.
In List view, use Export to Sheet at the top to export the table to Google Sheets (see Import and export with spreadsheets).

Timeline: see and move the schedule

A table is on the left and a chart is on the right. The table shows the title, whose turn it is, the status, and the due date. Drag the border between the table and the chart to resize them.
  • Time scale: Choose Day, Week, Month, or Quarter. Click Today to jump back to today.
  • Grouping: Group cards by Status, Your turn, or Priority.
  • Move dates: Drag a bar to move the start date and due date together. Drag the end of a bar to change only that date. Right after a change, click Undo to reverse it.
  • Parent and child cards: Child cards are indented under their parent card, and the parent’s bar spans all of its children’s dates. You can’t drag a parent’s bar.
Cards with only a due date are shown as ◆. Bar colors show the status, and a clock icon means the card is overdue. Cards without dates are listed under No date below the chart. Drag them onto the chart, or click Set date, to put them on the schedule. Template cards don’t appear in the timeline.

Showing cancelled cards

List and Timeline hide cancelled cards at first. Click Show N cancelled cards below the view to show them. If your filter includes Cancelled in the statuses, they show from the start.

Smartphones and other narrow screens

On a narrow screen, every view becomes a vertical list of cards. Use Sort at the top to choose the order (board order, due date, priority, or recently updated) and to set a filter.

Troubleshooting

  • You see “Could not save the order. Reload the page.”: Reload the page, then drag again.
  • You see “A template card cannot be completed or cancelled.”: A template card is a starting point for other cards, so you can’t set it to Done or Cancelled.
  • Cards don’t appear: Check that no filter is still on. Archived cards show up when you turn on Include archived in the filter (see Filter and bulk edit).
