Click a card, and its details slide up from the bottom of the screen. This is where you handle everything about one card: who does what by when, what the work is based on, and what people have said about it.

Layout

On narrow screens, the left, middle, and right areas become the Fields, Files, and Comments tabs.

Top: actions on the whole card

  • Board selector (top left): The board the card belongs to. Use it to move the card to another board. Choose My board to take the card off every board.
  • Card name: Edit it right there.
  • Buttons on the right: Archive, Follow (the number is how many followers the card has), and More actions (the three vertical dots).
  • Inside More actions: Share (copy a link), Duplicate, Repeat, and Convert to template card. When a card is set to repeat, the button shows a small dot.
See Find, share, and duplicate cards, Create a card again on a set schedule, and When to use Done, Cancelled, and Archive.

Left: who does what by when

These fields are the backbone of the card. The status and the four roles (Creator, Processor, Reviewer, and Receiver) decide who has the ball now. The colored dot next to each role shows the status in which that role has the ball. The card number, such as “Card #42”, appears at the bottom left. Enter the number in search to open the card right away.

Middle: the work itself

For details, see Write the description and add files, Break work down into steps, and Find, share, and duplicate cards.

Right: the conversation

The Comments tab lists the card’s comments, oldest first. On the Advice tab, AI reads the card and its comments and suggests what the current assignee should do next (AI advice and reports). If your team doesn’t use AI features, the Advice tab doesn’t appear.

Bottom: save your changes together

Changes you make in the details aren’t saved until you click Save changes. When you change the status or move a date, a note of what changed is added to the comment box at the bottom. Add your reason if you need to, choose the recipients, and then save. Below the save button, you can see who will be notified. ZARMS saves changes together so that “what changed” and “why” become one record, and the people involved hear about it once. If every single field change sent a notification, the people receiving them couldn’t follow what happened. For how to write comments and choose recipients, see Let people know with comments. To start over, click Discard to go back to how the card was when you opened it.
The Google Doc on the Document tab saves to Google Docs as you type. You don’t need to click Save changes in ZARMS for it.

Close

Click the down arrow at the top, or press Esc. If you have unsaved changes, you see “You have unsaved changes”. Choose Save, Discard, or Keep editing.

Troubleshooting

  • You can’t change a field: Archived cards can’t be edited. Click Unarchive at the top first. For guests and actions limited by role, see Roles and what they can do.
  • Your changes went back after you saved: If you see “Couldn’t save your changes. The card was restored to how it looked before.”, the save failed. Wait a moment, make the changes again, and save.
  • You can’t find a button or field: See Can’t find a screen or button, or can’t do something.
