ZARMS cards have six statuses: Draft, Not started, In progress, In review, Done, and Cancelled. You can’t add or remove statuses. You can only change each status’s label.

Why the six statuses are fixed

So you can measure all of your team’s work across boards with the same yardstick. Insights and the board list count cards by status and track how statuses change across boards. If each board had a different number of statuses or different meanings, you couldn’t compare numbers like “how many days did cards wait in review” or “what share finished on time” between boards. The six statuses are also tied to the rules for the ball. Because the statuses are fixed, ZARMS can decide automatically whose turn it is.

You can rename labels to fit your team

Sometimes “Not started, In progress, In review, Done” doesn’t fit a board’s work. When the words don’t match how people think about the work, it’s harder to move statuses correctly. So you can change just the labels while the meaning stays the same. For example, a board for customer inquiries is easier to read with labels like these: Renaming doesn’t change the six stages or the ball rules. Insights still counts them as the same statuses. Admins can change labels for the whole team in the admin console, and you can change them per board in Change board settings.

Agree on what each status means

When you rename labels, agree as a team on when a card moves to the next status. It saves confusion. For example, if you decide “Move to In review only after the deliverable is in the folder,” the Reviewer knows exactly what to check. Write these rules in the board description so people who join later know them too.
