You handle payment and plans on the Billing tab of the admin console. Payments go through Stripe, a payment service. ZARMS never stores your card number. Who can do this: Owner, billing manager Managers who aren’t the billing manager can only see the plan name and remaining credits. To learn how to assign a billing manager, see Roles and permissions.

Open the Billing screen

Owners and Managers open Settings (the gear) in the right-hand navigation, choose Team settings, and open the Billing tab. A Member who is the billing manager opens it from Billing, which appears under Settings.

Start a paid plan

1

Choose a plan

In Choose a plan, click Use Starter or Use Standard.
2

Choose how to pay

Choose monthly or annual billing, and card or invoice payment.
3

Complete payment

For card payment, add your card on the Stripe screen. For invoice payment, please pay within 14 days of the invoice date.
If you sign up during the trial, billing starts on the day the trial ends.

Change how you pay

Use the buttons on the Billing tab to switch.
  • Switch to annual / Switch to monthly: The difference for the rest of the period is prorated by day and charged right away.
  • Switch to invoice / Switch to card: Changes your payment method. Invoices are due 14 days after they’re issued.

Manage cards, invoices, and receipts

Click View invoices/receipts and update payment method (Stripe) to open the Stripe screen. There you can:
  • Change the card you pay with
  • View and download invoices and receipts
  • Change your billing details (such as the billing name and tax information)
If you also want billing notices to go to an address such as a shared accounting inbox, enter it in Billing and credit alerts email on the Team settings tab.

Change your plan

If you downgrade and the number of members or boards goes over the limit, your data is not deleted. You can’t create anything new until you’re back within the limit (see When you go over a limit).

Stop a paid plan

While you’re on a paid plan, you can’t pick Basic directly. Instead, click Stop at period end under Stop billing. This schedules a switch to Basic at the end of your current billing period. Until then, you keep your current plan. If you change your mind, click Resume billing before the period ends, and your subscription continues. Once you’re back on Basic, AI, the API, and AI agents (MCP) stop working. Your data is not deleted. If you want to get rid of the team itself, wait until the billing period ends and then delete the team.

If a payment fails

If a card payment fails, an email goes to the Owner, the billing manager, and the billing notification address, and a Payment notice appears at the top of the screen.
  • For 14 days after the failure, you can keep using ZARMS as usual. During that time, fix your card or complete payment on the Stripe screen.
  • After 14 days, editing and AI stop. You can still sign in and use the Billing screen.
  • Invoices are due 14 days after they’re issued. If an invoice is overdue, your team is in the same state as 14 days after a failed card payment.
As soon as payment goes through, everything works again. If you have questions, contact us.

Troubleshooting

  • You see “An active Stripe subscription exists, so this team cannot switch to Basic.”: Use Stop at period end instead.
  • You can’t see the payment screen: Only the Owner and the billing manager can use it. Ask the Owner to make you the billing manager.
