What you need before you start
- A Google account: You use it to sign in to ZARMS.
- A Google Drive folder: This is where card files go. For more than one person, prepare a folder in your team’s shared drive where you have permission to create folders. ZARMS automatically creates a folder for the team inside it. You can also connect with a personal Google account. My Drive is fine when you’re using ZARMS alone or trying it out, but then each file stays owned by whoever uploaded it. See Google Drive folders and permissions.
Create a team
If you don’t belong to any team when you sign in, the creation screen opens automatically. If you already belong to another team, start from Create a new team in the account menu in the top right. Your first team starts on a 30-day Standard trial without choosing a plan. If you don’t add payment details before the trial ends, the team switches to Basic (free) automatically and you won’t be charged. You can choose or change the plan for after the trial at any time (see Plans and the trial). ZARMS asks for Google Drive access when you choose the root folder.1
Name the team
Enter your company or organization name. You can enter up to 200 characters. The team name
appears in the top right of the screen and in the team switcher.
2
Choose the root folder
On the same screen, click the Root folder box to open the Google Drive folder picker. Choose
the folder you prepared, then press Create team. If you choose My Drive, ZARMS suggests a
shared drive for teams. You can still create the team.
What’s set up when you create a team
- Google Drive folders: A
ZARMS (team name)folder is created inside the folder you chose, with folders for boards, members, and more inside it. For details, see Google Drive structure and permissions. - A board with the same name as the team: Your first board. You can rename it later.
- An onboarding card: My Board gets one card called “Finish onboarding.” It has four steps: “Ask AI how to use ZARMS”, “Create cards for this week’s tasks”, “Edit your profile”, and “Invite members to ZARMS”. Items are checked off automatically as you do them. For what each item asks you to do, see Join a team you were invited to.
- A list of skills: Suggested skills, tagged as certifications, licenses, or apps. Use them to record what your members are good at (Groups and skills).
What to do next
1
Create a board
Create boards for each team or project (Create a board). You can also use
the board that’s already there.
2
Create cards
Turn a few pieces of your current work into cards (Create a card).
3
Invite members
Invite the people you’ll work with (Invite members). ZARMS doesn’t send
invitation emails, so tell them yourself that you invited them.
4
Ask AI what to do this week
Once you have more cards, try typing “Tell me what to do this week” in the box on Home (Ask
AI).
Creating a second team or more
Only the first team you create with a Google account gets a trial. For the second team and after, you first choose a plan, then enter the team name and root folder.- If you choose Basic, you can start using it for free right away.
- If you choose Starter or Standard, the Billing screen opens after the team is created. Until you start paying, the team works as Basic. For how to pay, see Payment and plan changes.
If something goes wrong
- You see “The shared folder picker can’t open”: Reload the page. If that doesn’t help, check whether your browser is blocking pop-ups or third-party cookies, and try another browser.
- You see “Could not prepare the shared drive.”: The team wasn’t created. Make sure you’ve allowed Google Drive access and that you have permission to create folders in the folder you chose. Then press Create team again.
- You see “Enter a name between 1 and 200 characters.”: Don’t leave the team name blank, and keep it to 200 characters or fewer.
