# Groups and skills

> Use groups to organize departments, and show only your groups' boards in the left nav. Use skills to record members' qualifications and strengths, and the skills a group needs.

A **group** is a set of people, such as a department or a section. A **skill** is a qualification or something a person is good at. Neither one affects permissions. You use them to organize who belongs where and what people can do, so it's easier to find boards and assignees.

Guests can't see groups or skills.

## Groups

### What you can do with groups

* **Organize membership and job titles**: See at a glance who is in which group and what their title is.
* **Narrow down boards**: If you link boards to groups, choosing **My groups** in the left nav shows only the boards of the groups you belong to. This is handy in teams with lots of boards.
* **Compare in Insights**: In Team view in [Insights](https://help.zarms.cloud/en/ai/insights.md), you can filter by group, or ask AI something like "completed and on-time rate by group" to compare groups.

### Groups have one level

Groups can't be nested. ZARMS is designed for a team of a few dozen people, so you can organize people without departments, sections, and teams nested inside each other. Keeping groups flat also keeps the link between groups and boards easy to follow.

One person can belong to several groups, and can have a different job title in each.

### Create a group

Who can do this: everyone except Guests (only Owners and Managers if an admin has restricted it)

**1. Open the create screen**

On the **Member** screen, open the **Group** tab and click **Create group**.

**2. Enter a name and members**

Enter a **Name**. If you like, use **Choose members** to pick the people in the group. You can
add members later, too.

**3. Create it**

Click **Create a group**.

### Change membership and job titles, and link boards

Click a group's name to open its details. Everyone except Guests can change who's in a group, whatever the restriction settings are.

* On the **Member** tab, use **Add members** to pick several people at once. You can type job titles directly in the list.
* Use **Link boards…** to choose this group's boards. You can also link a board from that board's [settings](https://help.zarms.cloud/en/boards/settings.md).
* To change groups from the person's side, use the **Groups and titles** tab in the member's details.

If you delete a group, its members are removed from it. The members themselves and the boards are not deleted.

## Skills

### Why record skills

Teams often don't split work by fixed areas. Instead, they list the week's work and each person takes what they're good at.

Recording skills shows the team who is good at what. In teams that can use AI, AI looks at a card's content and at people's skills, groups, and job titles to suggest a good Processor ([Set assignees and dates](https://help.zarms.cloud/en/cards/assignees-and-dates.md#choose-assignees)).

### Skills that come ready to use

When you create a team, ZARMS adds suggested skills, sorted under the tags **Qualifications**, **Licenses**, and **Apps**. To add a skill that's missing, click **Create skill**. Everyone except Guests can add tags, too.

### Levels

You can record a "level" for each skill. ZARMS suggests levels that fit the skill, such as "Grade 1" and "Grade 2" for a qualification, or "AT limited" for a driver's license. You can also type a level that isn't in the suggestions. New skills you create come with "Beginner", "Intermediate", and "Advanced".

### A person's skills and the skills a group needs

* **Skills a person has**: In the member's details, open the **Skills** tab and choose skills and levels.
* **Skills a group needs**: In the group's details, open the **Skills needed** tab and choose the skills and levels the group needs.

Open a skill's details to see a list of the people who have it and the groups that need it. You can also filter by level. In the member list, the **Skill** chip lets you filter people by skill and level.

## If something goes wrong

* **You see "You don't have permission to add groups"**: Creating groups is limited to admins. Ask an admin to do it.
* **A board you want isn't in the left nav**: The left nav may be set to **My groups**, and the board may not be linked to any of your groups. Switch to **All groups**, or link the board to a group.
