# Import and export with spreadsheets

> How to bulk import boards, cards, and members from Google Sheets, and how to export board and card lists to a spreadsheet.

If you've been tracking work or a member list in a spreadsheet, you can bring it all into ZARMS at once with Google Sheets. You can also go the other way and export board and card lists to a spreadsheet for totals and reports.

Both need a connection to Google Drive. If you aren't connected yet, follow the prompts on screen to allow access.

## How importing works

The steps are the same whether you import boards, cards, or members.

**1. Duplicate the template**

On the import tab, click **Duplicate template**. An import spreadsheet is created in your Google
Drive.

**2. Fill in the sheet**

Open the copied sheet and enter one item per row. Rows that start with `例:` ("Example:") are
samples and aren't imported.

**3. Import the sheet**

Go back to ZARMS, click **Import sheet**, and choose the sheet you filled in. Each row's
contents are listed along with any errors or warnings.

**4. Choose rows and create**

Check the rows to import and click **Create**. Rows with errors can't be imported. Fix the
sheet, then import it again.

You can import up to 500 rows at a time. The template's column names are in Japanese, even in the English app. If your team has custom fields, columns for them are included too.

## Import boards

Use the **Bulk import** tab in the board create dialog (see [Create a board](https://help.zarms.cloud/en/boards/create.md)). The columns are `ボード名` (board name), `説明` (description), and your custom fields. The `通知先メールアドレス` (notification email address) column isn't used right now. You can leave it blank.

## Import cards

Use the **Bulk import** tab in the card create dialog (see [Create a card](https://help.zarms.cloud/en/cards/create.md)).

| Column | What to enter |
| - | - |
| `ボード名` (board name) | The board to put the card on. A board name that doesn't exist yet is created as a new board |
| `カード名` (card name) | Required. Up to 500 characters |
| `状態` (status) | A status such as `下書き` (Draft) or `未着手` (Not started). If blank, **Not started** |
| `優先度` (priority) | `低` (Low), `中` (Medium), or `高` (High). If blank, **Medium** |
| `進行開始` / `完了期限` (start / due) | A date or date and time. If blank, they stay empty |
| `進行者` / `確認者` / `受領者` (Processor / Reviewer / Receiver) | An email address or display name. If blank, they stay empty |
| `説明` (description) | The card description. Up to 4,000 characters. It's also written to the description document |
| `チェックリスト` (checklist) | Steps, one per line. Start a step with `[x]` to mark it done, or `[ ]` for not done |
| `親カード` (parent card) | The parent card. See "How to write the parent card" below |

Unlike cards you create on screen, imported cards don't get default dates or assignees. If you need them, add them afterward with a [bulk update](https://help.zarms.cloud/en/boards/filter-and-bulk-edit.md#update-cards-in-bulk).

If you write an assignee by display name and more than one person has that name, you'll get an error. Using email addresses is the safest choice.

### How to write the parent card

* To use another row in the same sheet as the parent, write that row's **card name**. Put the parent row on the same board as the child. Parent rows are created first.
* To use a card that's already in ZARMS as the parent, write its card number, such as `#123`.

A parent must be on the same board. You'll get an error if several rows on the same board have the same card name, or if the parent settings loop back on themselves.

For how columns map when you move from another tool, see [Move from another tool](https://help.zarms.cloud/en/getting-started/move-from-other-tools.md).

## Import members

On the members screen, click **Invite members** (or **Add to directory**) and use the **Import from sheet** tab. You can add people to the directory and invite them by email in one go.

| Column | What to enter |
| - | - |
| `名前` / `氏名` (name / full name) | The name shown in the directory |
| `メールアドレス` (email address) | The person's Google account email address |
| `グループ` / `役職` (group / job title) | The group they belong to and their job title |
| `ログイン招待` (sign-in invitation) | `する` (yes) or `しない` (no). When an Owner or Manager imports, people with an email address are invited even if this is blank |
| `ロール` (role) | `メンバー` (Member), `マネージャー` (Manager), or `オーナー` (Owner) |
| `備考` (notes) | Notes |

Invitations are sent only when an Owner or Manager imports. When a Member imports, people are only added to the directory. You can't invite Guests from a sheet. [Invite Guests one at a time](https://help.zarms.cloud/en/team/guests.md) instead.

People already in the directory, and people who have already joined or been invited, are shown as warnings and aren't created twice.

## Export a list

The board list and the List view of boards and My Board have an **Export to Sheet** button. Click it to export the columns and rows you're viewing to a spreadsheet, saved in the `ZARMS` folder in your My Drive. When it's done, click **Open** to view it.

* If a filter is on, only the filtered results are exported.
* On a board screen, the button appears when you're in **List** view.
* You can also export the directory from the members screen.

Guests can't export. If an admin has limited exporting to admins only, only Owners and Managers can use it.

To save all of your team's data, use [Export your data](https://help.zarms.cloud/en/admin/export.md).
