# Look back with Insights

> Use the Insights screen to read key numbers, such as cards completed and the share completed on time, along with AI advice. When to use My view or Team view, how the tabs are arranged, and filters for each tab.

Insights is a screen for looking back at finished work with numbers. When you open it, you see an advice tab with four key numbers and a look back that AI writes. When you ask AI what else you want to know, you get new tabs with charts and tables.

Press **Insights** in the left navigation to open it. To see how many cards are still open or which cards are overdue, use [the board list](https://help.zarms.cloud/en/boards/create.md#the-board-list), not this screen.

## How the screen is laid out

The tabs are at the very top of the screen. Right below the tabs are the box for asking AI and the **Filter** button. Only the area below them scrolls, so the tabs and the box stay in view while you read.

* The advice tab: four numbers and AI advice ([explained below](#the-advice-tab))
* Tabs you made: charts and tables you made by asking AI ([Build your own dashboards with Insights tabs](https://help.zarms.cloud/en/ai/insights-dashboards.md))

## My view and Team view

The numbers come in two views. On wide screens, such as a computer, switch between **My view** and **Team view** in the right navigation.

| View | Cards counted | Good for |
| - | - | - |
| My view | Cards you're the Processor of | Looking back at how you work |
| Team view | Every card in the scope you choose | Spotting delays and uneven workloads in the team |

When to look at each:

* **My view**: At the start of the week, or when you finish a piece of work. Check whether you're meeting deadlines, whether your estimates are accurate, and whether work is often sent back to you.
* **Team view**: Before a regular meeting, or at the end of a month or quarter. Check whether the on-time rate is dropping and whether reviews are taking longer. Narrow by board or group to find where work is stuck.

## How the tabs are arranged

### On wide screens, such as a computer

From the left, the tabs are as follows. Only the tabs for the view selected in the right navigation are shown.

1. **+** (new tab)
2. The advice tab (**Advice for you** in My view, **Advice for the team** in Team view)
3. The tabs you made in that view (newest on the left)

You can drag the tabs you made to reorder them. When you close one with ×, **Undo** appears at the bottom of the screen for a few seconds. Press it to put the tab back where it was. The advice tabs can't be closed.

### On a phone

There's no right navigation, so all tabs are in one row: **+**, **Advice for you**, **Advice for the team**, and then all the tabs you made, in both My view and Team view. Each tab you made has an icon: a person for My view, or a group of people for Team view.

On a phone, when you press **+**, you first choose **Look at my work** or **Look at the team**. On wide screens, you don't see this choice. The new tab uses the view selected in the right navigation.

## Choose the period and scope

Press **Filter**, to the right of the box, to choose the conditions. The conditions apply **only to the tab that's open**, and they're saved with that tab. Other tabs keep their own conditions. **Advice for you** and **Advice for the team** also remember their own conditions, even when you open Insights on another computer or phone.

For the period, choose **1 month**, **3 months**, **6 months**, or **12 months** (the last 30, 90, 180, or 365 days), or choose **Pick dates** and set a start and end date (up to 366 days). Each number is compared with the period of the same length just before it.

On a **Team view** tab, you can also narrow what's included by **Board**, **Group**, and **Member**. You can choose several of each. Within one item, cards matching any choice count. Across items, cards must match all of them. On a **My view** tab, you can choose the period only.

* Under Board, you can also choose **My board**. Under Group, choose **No group** to see people who aren't in any group.
* Groups are counted by the group the Processor belonged to when the card was completed.
* When you filter by member, it includes cards where that person is the Creator, Processor, Reviewer, or Receiver.

## The advice tab

### The four numbers

My view and Team view show slightly different numbers.

| Number | View | Meaning | What to look for |
| - | - | - | - |
| Completed | Both | The number of cards set to Done in the period | Whether the amount of work is going up or down |
| Completed on time | Both | Of cards with a deadline, the share completed by the deadline | If it's low, review how deadlines are set or the workload |
| Actual vs. planned | My view | Total actual hours as a share of total planned hours | Well over 100% means estimates are too optimistic |
| Sent back to you | My view | Of the times a card left In review, the share sent back to In progress | If it's high, confirm the requirements at the start |
| Median review wait | Team view | The number of days from when a card enters In review until it leaves it | If it's long, work may be piling up on certain Reviewers |
| Median created to done | Team view | For cards completed in the period, the days from creation to Done | If it's getting longer, work is getting stuck somewhere |

Below each number, you can see the change from the previous period. If there are no cards to count, it shows "No data". If the previous period has none, it shows "No data in the previous period". Hover over a number's name to see how it's counted.

Deadlines are based on the due date. For cards without a due date, the start date is used. Cancelled cards aren't counted in any number.

### AI advice

Below the numbers, AI writes a look back and next steps based on them. In My view, it's about how you work. In Team view, it's about how work is flowing in the team. On plans that include AI, it's generated automatically when you open the tab and uses credits. If the numbers haven't changed since it was last generated, ZARMS shows the earlier text and doesn't use credits. To regenerate it, press **Generate again**.

**Advice for you** is prepared every morning around 5:00 (in the team's time zone) for people who opened Insights in the last 7 days. It uses the period you chose on that tab, so it's ready without waiting when you open it.

For details, see [AI advice and reports](https://help.zarms.cloud/en/ai/advice-and-reports.md).

## Ask AI to make a tab

To learn something beyond the advice, type it in the box below the tabs and send it. AI builds a chart or table from the real numbers and shows it in a new tab. AI never makes up numbers.

For how to make tabs, ask follow-up questions, and the limits, see [Build your own dashboards with Insights tabs](https://help.zarms.cloud/en/ai/insights-dashboards.md).

## What Guests can see

For Guests, Insights reflects only the numbers for cards on the boards they were invited to.

## If the numbers look low

Insights is calculated from records that are saved each time a card's status changes. If the records start partway through the period you chose, the screen shows "Based on records since (date)." Cards completed before that are counted by their estimated completion date only.

My view counts only cards you're the Processor of. To also see cards you were involved in as Reviewer or Creator, use Team view and choose yourself under **Member**.
