# What you can do in the admin console

> The six tabs of the admin console (Team settings) that Owners and Managers use, and its main settings: team name, time zone, status labels, card defaults, permission restrictions, turning off AI features, and more.

In the admin console, you change settings that apply to the whole team and check how the team is being used.

Who can do this: Owners and Managers (billing managers can use only the **Billing** tab)

## Open the admin console

Open **Settings** (the gear) in the right nav and choose **Team settings**. On narrow screens, it's in the account menu in the top right. If a Member or a Guest opens the admin console URL, they see "Page not found".

## The six tabs

| Tab | What you can do |
| - | - |
| Overview | See the number of active people, invitations waiting for sign-in, this month's AI credits, the subscription status, and recent activity |
| AI | See how many credits you've used and how many are left. Set a monthly cap and the alert threshold |
| Billing | Plan, payment method, invoices, and buying additional credits |
| Team settings | Team name, time zone, labels and defaults, permission restrictions, and more (explained below) |
| Custom fields | Add your company's own fields to cards and boards |
| Audit log | See a record of who changed what, and when |

For how to use the **AI** and **Billing** tabs, see [Credits](https://help.zarms.cloud/en/billing/credits.md) and [Payment and plan changes](https://help.zarms.cloud/en/billing/payment.md). You invite members and change roles from **Member** in the left nav, not in the admin console (see [Invite members](https://help.zarms.cloud/en/team/invite.md)).

## Main settings on the Team settings tab

### Basics

* **Display name**: The team's name.
* **Billing and credit alerts email**: An address that gets payment and credit notices, separate from the owners. For example, enter a shared accounting address. Only Owners and billing managers can change it.
* **Time zone**: Used for default dates and times on cards, and for where days begin and end in Insights.
* **Primary color**: Change the app's colors to match your company's color. Members who have not picked their own theme color use this color ([Change your screen color](https://help.zarms.cloud/en/getting-started/theme-color.md)).

### Labels and defaults

* **Status names**: Rename statuses for the whole team, for example from "In progress" to "Working on it". You can rename them again for each board (see [Change board settings](https://help.zarms.cloud/en/boards/settings.md)).
* **Defaults for new cards**: The values filled in when you create a card: card name, status, priority, Hours (planned), dates and times, and assignees. You can change them again for each board.

### Permission restrictions

You can limit creating groups, adding people to the directory, and spreadsheet export to Owners and Managers only. This is also where you decide whether Members can connect from AI agents with OAuth. For details, see [Roles and what they can do](https://help.zarms.cloud/en/team/roles.md#permissions-admins-can-restrict).

### AI features

If you uncheck **Use built-in AI**, ZARMS's AI stops for the whole team (AI search, advice, reports, AI drafts, and preparing documents so AI can search them). Uncheck it if anyone under 18 uses the team.

This setting doesn't stop connections from outside AI agents through MCP or the API.

### Chat notifications (Google Chat, Slack)

Choose whether incoming webhooks for Google Chat and Slack can be used. When turned off, no board or team-wide destination can be added and saved notifications stop. **Team-wide notifications**, which post activity from every board to one place, are also set here. See [Post board activity to Google Chat or Slack](https://help.zarms.cloud/en/notifications/chat.md).

### Referrals

Decide whether the ZARMS referral link can be used, and who can copy it. You can also issue new referral links.

### Google Drive

* **Google Drive folders**: The team-wide folders where ZARMS creates files. Owners and managers can switch them to other folders.
* **Google Drive permissions**: Shown when ZARMS fails to add or remove a permission.
* **Google Drive folders are unavailable**: Shown when the team's folders are gone and ZARMS couldn't recreate them automatically.

For details, see [Google Drive folders and permissions](https://help.zarms.cloud/en/admin/google-drive.md).

### Export data and delete the team

At the bottom of the tab are [Export data](https://help.zarms.cloud/en/admin/export.md) and [Delete team](https://help.zarms.cloud/en/admin/delete-team.md) (Owners only).

## Custom fields

You can add your company's own fields to cards and boards, such as customer name, project type, or quoted amount. The field types are Text, Number, Date, Single select, Multi select, Checkbox, and Member. The fields you create appear in card and board details, and you can also use them in filters and spreadsheet imports. See [Add your own fields with custom fields](https://help.zarms.cloud/en/admin/custom-fields.md).

## Audit log

Actions such as invitations, role changes, and settings changes are recorded. Calls from API keys and AI agents (MCP) are recorded too. You can filter by **Action**, **Target data**, **Person**, and date range. Use **API and MCP calls** to switch between **Include**, **Exclude (in-app actions only)**, and **API and MCP calls only**.

On every plan, the screen shows the most recent 13 months. Records are deleted after 7 years. You can also check the changes to each card on the card's [History](https://help.zarms.cloud/en/cards/organize.md#see-the-change-history) tab.

### Export as CSV

Press **Export CSV to Drive** to save the records that match your current filters as a CSV file in the "ZARMS" folder in your My Drive. You can't download it to your computer. Use it for internal audits, or to sort the records yourself.

The CSV has columns such as the time (JST), action, target, the person and their email address, and details. It is encoded in UTF-8. The export itself is also recorded in the audit log as "Audit log export."
